Seedy Saturday Organizer

SEEKING an enthusiastic, experienced and connected individual to plan, implement and organize an established community seed and garden show held at the Victoria Conference Centre on February 16, 2019. This is a PART TIME CONTRACT position.

Seedy Saturday, hosted by the James Bay Market Society, is an annual event focused on the preservation and circulation of seed varieties (heritage, organic, specialty, vegetable, herb and flowers), provided by mainly local/BC seed producers and farmers. The event has 65+ exhibitors (seed companies, nurseries, food products, garden products and services, non-profit organizations), 15+ speaker sessions, a children’s activity area and seed and garden book exchanges/sales.

Applicants should have a good understanding of and appreciation for the event’s purpose and its relationship to the community at large and have familiarity/awareness/knowledge of local food security and the local organizations working in this area.

Responsibilities:

  • Plan and implement a large exhibit show, with an extensive speaker program, and ancillary activities.
  • Draft event budget, maintain cost controls and provide financial reports as required.
  • Maintain existing sponsorships and donor donations and secure new ones.
  • Work closely with existing team of event Volunteer Supervisors re: logistics, social media, creative ideas, overall input.
  • Create and/or work with others on event image and event promotional materials.
  • Develop and coordinate promotion and publicity efforts using print, electronic and social media.
  • Ensure all event activity complies with facility regulations.
  • Conduct post-event meeting with Supervisors for evaluation and recognition.
  • Compile public survey results and feedback from exhibitors, volunteers and supervisors.
  • Provide post-event evaluation report with final event accounting to JBMS Board of Directors.
  • Send ‘Thank you’ notes to all sponsors, donors and volunteers in an agreed-upon format.

QUALIFICATIONS

Education/Experience:

  • Proven experience managing and implementing large events and/or projects, both independently and with volunteers.
  • Knowledge of seed preservation and its importance.

Skills/Abilities

  • Proven organizational skills demonstrating detailed planning, time management, financial accountability, logistics, and flexibility.
  • Ability to communicate effectively (verbal and written).
  • Excellent interpersonal skills.
  • Ability to work independently and with a team.
  • Proficient with word processing and spreadsheets.
  • Creativity and problem-solving skills.

The successful applicant must have a home computer and work space, a cellular telephone with texting capabilities, the ability to prepare information and post same to social media and a vehicle for delivering/transporting event materials. Storage access/availability of some event materials is preferred.
